Two days to build a system that reads invoices, price lists and food cost
The important information in a business is often already available, but scattered across invoices, supplier documents, spreadsheets and recipes. This workshop turns it into a readable and controllable working system.
It is not a management system to buy, nor a theoretical artificial intelligence lesson. It is practical work: the system is built together around the files and data of the business, and remains on the participant’s computer.
What the system can do
- Read XML invoices or photographed documents and identify products, quantities and prices.
- Update supplier price lists and make price changes visible.
- Connect recipes and costs to calculate food cost for each flavour or product.
- Show costs, margins and changes in an accessible dashboard.
The programme
Day 1 — Foundations and architecture
- Workspace setup.
- Goals, system roles and limits.
- Agents for counter service, B2B and administrative work.
- Capabilities, memory and operational instructions.
- Protocols, security and data management.
- Mapping and saving the system built during the day.
Day 2 — Data, food cost and control
- Suppliers, invoices and price updates.
- Recipes and food cost for each flavour or product.
- Dashboard for costs, margins and changes.
- A method for maintaining and evolving the system.
At the end of the workshop
The outcome is a working environment already set up, with a useful flow for reading documents, keeping prices current and controlling food cost. The system does not replace the entrepreneur’s decisions: it makes it easier to reach them with organized data.
